Meeting follow-up · Workflow walkthrough

From meeting notes to a tracked action plan

The meeting is over. The notes mix decisions, ideas, and things somebody might do. Turn them into a plan your team can confirm and follow.

Configure automatic checks against the notes, with a human checkpoint only where you choose. Clear actions can move forward while missing information is routed for clarification.

The situation

Your weekly launch meeting ends with scattered notes: Lina will update the product sheet by Thursday; Marc needs that sheet before preparing the distributor email; a discount was discussed but never approved. You need a reliable action list and a recap, without turning every suggestion into a commitment.

Start with one ticket

Use these meeting notes to separate decisions, open questions, and proposed actions. For each action, quote the supporting note and identify the named owner and deadline when present. Verify the extracted actions against the notes. Create tasks for actions that pass the checks and route missing information for clarification.

Paste the notes or an approved transcript into the ticket. The input is provided by you; no recording or calendar integration is required.

A workflow to configure

Check actions against the meeting notes automatically or through a chosen human checkpoint. Passing actions become tasks with owners and dependencies.
Automatic checks can validate actions against the notes. Add human review where you want it, and route missing information for clarification.
  1. Extract decisions: an agent prepares a recap, candidate actions, and unresolved questions, with supporting excerpts.
  2. Validation: a separate checking step compares each proposed action with the source notes. Keep the discount as an open question. Route ambiguous commitments to clarification, with an owner checkpoint if you choose.
  3. Action plan: when the configured checks pass, an agent creates child tickets for the agreed actions. Use project members as assignees where available and record external owners in the ticket. The distributor email depends on the product sheet.
  4. Follow-up: configure a scheduled ticket to prepare a progress recap and reminders from the current ticket history. Route them through your checks, then to manual sharing or a configured delivery tool.

What you get

Checks to configure

Each action needs support in the notes. A missing owner or date should be marked for clarification. Follow-ups should use the current ticket status. These rules can be checked by a dedicated agent step, with failures routed to corrections or a person.

The practical result: the meeting produces a plan you can track. Tasks, clarifications, and follow-up drafts remain connected to the original discussion.
